MSP Sales No-Show Rate: Definition & Formula

Sales no-show rate measures booked appointments that were due to occur but were not attended. Define cancellation and rescheduling treatment before calculating it. Illustrative example: six no-shows from 40 appointments due produce 15%. Exclude future appointments from the cohort and avoid counting the same rescheduled meeting twice.

Formula

No-show rate % = missed appointments ÷ appointments due in the measured cohort × 100

Why it matters

Booked appointments do not all become conversations, so no-shows affect the volume required by a sales plan.

A higher rate can signal weak expectations, poor qualification or scheduling friction.

Common mistakes

Including future meetings in the denominator.

Counting an advance cancellation as both a no-show and a rescheduled appointment.

Combining no-shows with not-a-fit outcomes and losing the cause.

Track booked, due, attended, canceled and rescheduled states explicitly.

Confirm the purpose and expected value of the meeting.

Review changes by source using enough appointments to avoid reacting to one week.
